The model that I am going to develop is about class attendance
Because it is better for me to find information’s about the student using tutors registers and get other information in the college library.Any one in the college can use this model like student, teachers and even parents of the student can get any information they want about their children. My investigation and analysis I attended to do is that I research information in the Internet, class register and collect information from books. The facilities that I am going to use are forms, micro buttons, and queries. My achievement is that parents of the student in the college can use the database to get any information they want about their child without even disturbing the teachers and making appointments with the teachers in the college. How I am going to do the model is that I have collected information in a tutor register and type them in and designee a macro buttons in this project and I have used spreadsheet for this project.
3. FEASIBILITY STUDYFind out if the time is developing. The system is reasonable and produces a feasibility report to show the objectives of a project, problem, and make a recommendation; feasibility report describes what is required from the system. The following shows how the present system works.( Large volume of paper work is involved( Manual systems are prone to errors because of the large volume of paper work.( Manual system tend to have a lot of duplication, data containing in files can be found at several different places.
Problems involved in the present system.( Difficulties in maintain security in manual system because of the large volume of paper work.In this feasibility study, using a computer system can solve the problem I identified. Therefore, I will go ahead and design, and develop a model for a class attendance from the students record system. The investigation that I have used to gather information for my project is that I have collected information from a register and observation.
3. INVESTIGATIONS AND ANALYSISOBJECTIVES1. To keep track of student lateness and absence in the class.2. To keep absence and lateness record up to date for the user to find information faster.
3. To provide instant information about student attendance and student absentees.4. To provide a secure storage for student attendance record and student lateness.5. To provide an efficient way of maintaining student attendance record and monitoring attendance record.
6. To provide up to date information on subject and options of the student.SOLUTIONThe system will use a model to record student attendance and it would have facilities to search through the database for relevant information. It would be easy to use the system because it will have micro buttons that can be clicked by a mouse to perform a task. It will also use password to protect the database and this will allow the tutor to use the database system.
The system will also produce reports to allow the tutor to maintain accurate records such as poor attendance summary and attendance Analysis The main source of data from the system is the tutor’s register.I will get data from tutor register and input the information to the model and design macro buttons and type the information in the spreadsheet cells. In order to check to see if my objectives have been mate, I will evaluate my database system by giving it to a tutor to see it and get feed back.4. DESIGN OF SOLUTIONBUTTON FUNCTIONDATA SECURITY AND PROGRAM SECURITYIn this model both the program and data I will use password protection to protect it against virus or copying the model.
It can only be used my some one who has access to the model and some one else cannot use this model.5 IMPLEMENT OF SOLUTION5.1 RECOURCES REQUIREDHARDWARE REQUIREDThe following are the hardware required for this model:> You need a PC to use for the model> You need a (CPU) central processing unit in your computer.> You need an input hard ware like keyboards, mouse and scanner> You need output hardware like printer and (VDU) visual display unit.OPERATION SYTEM REQUIREDThe operation system that I have used for this model is called Microsoft Windows 98. I used this software because it was very easy for me to type my information and micro buttons that can be created quickly and faster than other software. I have also used Microsoft Excel in this model.SPREADSHEET SOFTWAREYour calculations are done automatically so you don’t have to type them again manually.WORD PROCESSORMain purposes for a word processor is to process document files, which can consist of text.
Word processor can be used for making files, applications, and notes and for adding pictures like clipart and scanning photographs. Tables can be done using word processor.DATABASE SOFTWAREA database software package allows data to be stored and queries and reports to be made. This will be the best software package for my model. I have considered two database software packages, EXCEL AND PARADOX; I have chosen EXCEL database software package for my model because it was easy for me to type my information and create micro buttons faster and quicker than PARADOX.
DATA COLLECTIONThe user will need one model to input data. This model is called GCSE IT attendance model. The layouts of the model are shown below.SPREADSHEET MODEL(Hand draw)I have chosen the design because it was easy for me create the macro buttons and type my all information in the spreadsheet.5.
3 DATA VERIVICATION AND VALIDATION5.3.1 DATA VERIFICATIONI will get the information from my class tutor and type it into the computer system. I will also check regularly on the screen to see that the information I have type in is correct. I will also print out the details and check it regularly to make sure that the information that I have received from the tutor and the other one are same.5.
3.2 DATA VALIDATIONI will use the data validation facilities of EXCEL to validate my data. The reason for data validation is to remove any errors that are not reasonable.5.4 PROGRAM AND DATA STRUCTURE5.
4.1 PROGRAM STRUCTUREUser guide It opens a form that shows all the help that the user can find difficult in this model.GCSE IT attendanceModel it opens forms that show the entire student that are in GCSE ITClass.Quit it stops all running micro and closes the modelExit closes the user guide and takes you back to the main menu.Attendance analysis it shows the entire student name, student ID NO, student tutors and attendance of the student if it is good or bad.
Poor attendanceSummary shows the entire students that have not achieved the minimum attendance required by the college.Exit closes the GCSE IT attendance model and takes you back to the main menu.Register shows all the student details and tutor and the date they attend in the collect or they were absent.Print model it prints all the required details in the attendance analysis form.Print summary it prints the entire student summary in the poor attendance summary form.
5.4.2 DATA STRUCTUREThe database structure is the record. Table will be created and the record input in to the tables. Record is most appropriate for this project because record can be stored for a long time.5.
5 OUTPUT REPORTSThe report designs, which were created by wizard, are shown below. The reason for this report is to use these reports as back up, so if there is no computer the user can still view the information.OUTPUT REPORTS(Hand draw)6. TESTING OF THE SYSTEMIn order to test the system I will prepare a test data showing all the buttons that are in this model and each validation. I will log the results in a table and “print screen” each test result to show that the test is succeeded.TEST NO 1.
